The proven method to lock in client retention.


Wouldn't it be nice if we could guarantee our clients walking through the door week after week and month after month?


How would you feel knowing that you are fully booked, and all classes and sessions were paid in full, for the next month?


We've all experienced the letdowns, the last-minute cancellations, the excuses and the ones that don't phone, don't show and we just don't know what happened!


Well, after a spot of market research amongst the Holistic Therapists of the East Midlands, it we have concluded that 90% of you struggle with the issue of reliable clients.



How do we guarantee they will show?


Here are a few ways to lock in your clients, to gain some well-deserved commitment.


1 - Take a deposit!

Upon booking, take a 50% deposit from the client, there and then on the phone or online.


You can do this simply, by setting up a PayPal account and linking your client to the payment portal.

You can also create a booking form on your website, take their card details and ask them to pay there and then on the phone. No deposit, no appointment!

By taking a 50% deposit, it means your client is more likely to turn up to the appointment.


But how do I prevent clients from cancelling at the last minute?


2 - Use a cancellation policy.

On your website, PayPal, stripe or other payment portal, you can take your client through the booking process. Your client will leave their payment details on the portal with the clause stating that if they cancel within 24 hours, they will be charged in full for the appointment.

Then, if they cancel, you are still legally obligated to take the money from their account. You have the option to decide whether to take full payment or a smaller amount.

As long as the client is aware of this clause at the time of booking the appointment, you won't have a problem. This guarantees there is no break in your cash flow, and helps secure your finances.



3 - Courses.

We're in a time where courses are freely abundant and there are different types of courses to consider for your clients.

For example - If you have a massage practice, you could offer 6 sessions for the price of 5, or something similar.

If your practice attracts a client with a common problem, promote a course of treatments to deal with the problem completely.

For example - If you're a personal trainer, You could create a plan for office workers suffering with kyphosis. Then, create a 12 week program to help fix their posture! The client will have to pay for the full 12 weeks, ensuring you have a regular client AND full payment.


Courses are easy to put together, as long as you have a creative mind.


If you get stuck, research what others are doing within the same niche.

Don't copy others directly, of course.

But get an idea and then design your own.
